terms & conditions

Though the boring part, at Covert Farm, our aim is to make your visit as enjoyable as possible. So we must ask that you read and accept the following terms and conditions which must be adhered to by all guests. This ensures we can maintain our standards for everyone and ensure your safety, as well as establishing a clear agreement for cancellation, damage and exceptional circumstance.

To allow our guests the most flexibility, the following cancellation policy applies:

  • A low deposit of 15% to secure your booking

  • Balance not due until 28 days before your holiday, in case of late changes to Coronavirus guidance

  • Due to low deposit and late balance payment, no refunds are offered

  • Arrivals are welcome from 3pm-7pm and departures must vacate by 10.30 or by arrangements made and prior if arriving outside of the allocated times.

  • BBQ only with guidelines. We no longer accommodate fire pits sorry.

  • We are a peaceful campsite, so we operate a “Quiet Time” between 10pm and 8am and there is no amplified music allowed on site.

  • No Electric Vehicles to be charged on site

  • Dogs are welcome but please keep them under control and on leads when about the site and clean up any mess and be aware of livestock in adjacent fields. We do have a specific dog run area that is available to use.

  • Please respect the communal areas, clean up any mess you make and try to leave as you would like to find them.

  • There are designated areas for rubbish and recycling, please make use of these and do not litter the campsite.

  • Levelling blocks should be brought with you as some pitches may require this for optimum levelling

CAMPSITE RULES

  • We are a family campsite, so we operate a “Quiet Time” between 10pm and 8am and there is no amplified music allowed on site.

  • Dogs are welcome but please keep them under control and clean up any mess and be aware of livestock in adjacent fields.

  • Please respect the communal areas, clean up any mess you make and try to leave as you would like to find them.

  • There are designated areas for rubbish and recycling, please make use of these and do not litter the campsite.

 

Arrival/Departure:

  • All accommodation including camping pitches, cabins and bell tents are available from 3pm-7pm on the day of arrival. Arrangements must be made prior if arriving outside of the allocated times. On departure all accommodation and pitches are to be left clean and tidy and vacated by 11am (unless we have agreed an extended check-out) to allow us time to tidy up and make it lovely for the next guests!

Booking:

  • When you make a booking a booking confirmation email will be sent to you confirming the of accommodation, dates, times and payment details of your holiday. Booking and payment is considered the establishment of a legal contract.

Woodland Champions:

  • We are a proud member of the Woodland Champions Camping club. This means that we try and plant new trees  and every year. By booking with us you agree to become a member of the club (free of charge) and details to be passed on to a mailing list.

Group Bookings:

  • Whilst we don’t allow groups and parties, we do welcome small family groups that comply with our rules and respect quiet times. However, we do ask that you respect the other guests, and we reserve the right to ask you to leave if you are in breach of our camping rules (see above).

Noise/Consideration for Others:

  • This is a peaceful, quiet campsite for the enjoyment of nature. We do not allow radios, stereos or other sound systems and only quiet talking is permitted after 10.00pm. Acoustic instruments can be played before then, such as guitars, harmonicas, flutes etc. Noisy visitors who disturb other guests will be asked politely to leave immediately, without refund (this has never needed to happen). If you are out for the night and arrive back late, please leave your car at the entrance (a torch will be useful to help you find your way to your tent). It’s really important to us that other guests have a peaceful break and are shown respect and all need sleep for tomorrows adventures!

Cars & Campervans

  • The speed limit while on the farm is 5 mph. If we have had periods of prolonged rain and on arrival or departure days the ground is considered (by us) to be too soft to drive on, please use the wheelbarrows to transport you gear. Help will be provided by us if required.

Payment:

  • Bookings are made with a 15% non-refundable deposit with the balance required 28 days prior to your arrival date. If we do not receive your balance by this time, we may assume you have cancelled your holiday and release the dates – see below. For short lead-time bookings – i.e. those booked less than 28 days before arrival, the full amount will be requested to secure the booking.

Cancellation & Refunds:

  • We realise sometimes plans change and if possible, we will offer you alternative dates to suit both us and you. If this is not possible, Covert Farm Camping will retain the 15% deposit and the remaining balance will be refunded if amended more than 28 days prior to the stay. Bookings are not transferable to another family without our prior agreement in writing. If you are concerned about the prospect of cancellation, please take out holiday insurance. In the unlikely event that any of our accommodation is not available due to fire, flood or other unforeseen circumstances, Covert Farm Camping cannot accept liability or responsibility for any loss, including consequential loss, but the full cost of the holiday will be refunded.

  • You can always request to change the dates of your booking, but we do ask for notice 28 days or more before your booking arrival date.

  • Please note that bookings cancelled within 28 days prior to arrival are not subject to a refund.

Age Policy:

  • As a general rule, we do not accept bookings from anyone under the age of 18 without parental approval

 

Cleaning:

  • Please remember that the showers, toilets, and communal areas are shared, so we request you clean up after use and try to accommodate others’ usage. Please leave the kitchen, toilets and showers as you find them and let us know if there are any problems. We will empty the bins, clean the showers and toilets and take the recycling away daily. Please keep your pitch, cabin or bell tent clean and dispose of your litter in the bins and recycling facilities provided. Dirty pitches are ugly and litter kills wildlife.

 

Barbecues:

  • BBQs gas or coal can be use outside and but not in windy or very dry conditions, even if you think it’s gone out, Carbon Monoxide is a deadly, invisible poison. We take every care to ensure you have a safe and enjoyable holiday but cannot be held liable for any accidents or consequential loss.

  • You are responsible for any BBQ you light so please pay attention to it and DO NOT leave it unattended. Have a bucket of water or sand handy just in case you set fire to yourselves or your stuff. Please put ash from the  BBQs into the metal bins provided.  Covert Farm Camping cannot be held responsible if you set fire to yourself, your stuff or anyone else.

  • You must only use the appropriate coal or gas for your BBQ.

 

Flames, hunting and Fireworks:

  • No firearms, hunting paraphernalia, fireworks or Chinese lanterns are permitted on the farm. No naked flames of any sort are permitted inside tents.

 

Negligence:

  • Guests will be held responsible for any fire, damage or alteration to the structure caused by negligence.

 

No Smoking Policy:

  • All of our cabins, bell tents and undercover facilities have a strict NO SMOKING Policy. Anyone who smokes outdoors is responsible for disposing of their cigarette butts in a tin can in a clean and tidy manner (or ash bin the metal bin)

 

Pets:

  • Dogs are very welcome but please keep them under control, on a lead at all times, and clean up any mess. We do have a specific dog run area available to use. Please be aware of livestock in adjacent fields. Dogs must not cause nuisance to any other guests – this may result in us asking you to leave.

 

Rubbish and Re-cycling:

  • A condition of camping here that you recycle your rubbish. That means separating glass, cans, plastic, paper, cardboard etc. and placing them in the special bins provided in the barn. What is left, i.e. only items that are not recyclable, can be placed in the small landfill bin.

 

Lost/Stolen Property:

  • Covert Farm Camping cannot be held responsible for any lost or stolen property. We have never had an incidence of theft and we very much hope we never do.

 

Livestock:

  • Our site is part of a working farm so occasionally we have livestock in the surrounding fields. Please admire the livestock from your side of the fence and not theirs, Covert Farm Camping can’t be held responsible for any accidents if you are in their field. We also ask that you don’t feed any of our livestock.
